User Mailbox Access and Approvals in O365

Summary 

The article covers the necessary approvals for granting access to a user's mailbox in Office 365.  

 

Details 

DO NOT inform the mailbox owner of the request under any circumstances. 

 

If a request comes in for access to a user's mailbox: 

Determine if the user is terminated or active
 
If the user is terminated 

  • Determine who the request originated from. 
  • If the request is not from the user's manager, you must have approval from an HR Manager. 
  • Attain approval from an HR manager via emailing HR4@daymon.com 
  • Once approval is given, grant the manager full access to the mailbox. DO NOT FORWARD TO ANOTHER ADDRESS. 

If the user is active (not terminated) 

  • Determine who the request originated from. 
  • If the request is from HR personnel, grant the access. 
  • If the request is from any non-HR personnel, inform the user that you must get HR approval to perform the action. 
  • Attain approval from an HR manager via emailing HR4@daymon.com 
  • Once approval is given, grant the user full access to the mailbox. DO NOT FORWARD TO ANOTHER ADDRESS.     

Once access has been granted, inform the requestor of how to access the mailbox in Outlook / OWA.
